Description: |
The finance administrator will manage the back office administrative processes that keep the firm running smoothly, including HR administration, bookkeeping, accounts payable, expense report processing and administrative support to the finance group. The successful candidate will be feel a sense of ownership for their responsibilities, be resourceful and able to work independently, manage multiple processes simultaneously, be observant and take initiative where help is needed and care to deliver a quality work product. This position will report directly to the CFO and will work closely with the assistant controller and have significant exposure to the general partners and other functional areas.
The Finance Administrator will:
- Lead the bookkeeping for the management company including recording transactions, reconciling accounts, updating a rolling budget, etc.
- Manage quarterly closing process and prepare management company reporting package
- Administer accounts payable including collecting W-9's and contact info, monitoring payables, making payments (mainly via Bill.com) and assisting with managing vendor relationships
- Administer monthly payroll, 401k, benefits and other human resources functions
- Lead cash management including initiating wires, depositing checks and reconciling bank accounts
- Review and process expense reports ensuring compliance with policies and process ACH payments
- Assist CFO in the year-end process, including a tax basis audit which then feeds into the year-end tax filings, annual budget preparation, 1099 process, etc.
- Record, monitor, reconcile and pay amounts due between internal entities
- Issue invoices and monitor receipt of amounts charged back to portfolio companies
- Monitor insurances, leases, contracts, and assist in renewals and cancellations
- Assist with general administrative tasks including various regulatory and tax filings
- Provide administrative support to the CFO and other back office personnel
- Be observant and propose additional ways to contribute to our small, high-performing team
- Be savvy with technology and adept at utilizing new technologies to expand bandwidth
